Location and Working Environment
- This position is based in the UK and will require onsite attendance.

Purpose & Scope
- 12 months FTC – maternity cover
- To deliver proactive, high-quality operational and administrative support to the Head of Sales, Sales Leadership Team and field sales team, ensuring effective coordination of meetings, systems, budgets and day-to-day activities to enable the team to deliver their business objectives efficiently and compliantly.
Role and Responsibilities
- Provides support and coordination of activities on sales and marketing projects
- Manages end to end Promomats process for sales and marketing activities including active materials, withdrawals and recalls
- Support the sales teams with meetings, vendor set ups, contracting and meeting logistics
- Be responsible for organising national sales meetings / cycle meetings by doing venue sourcing, contracting, agenda coordination and logistics
- Raise PO’s for team and approve payments for completed works for agreed cost centres
- Budget management and tracking
- Supports the management of active materials, withdrawals and recalls
- Arrange and attend sales, meetings and take actions
- Ad-hoc project work eg, project management, simplification, IT implementation, sales team task forces
- Some travel in the UK and Europe (including overnight stays).
Required Qualifications
- Excellent and accurate typing speeds and intermediary or advanced command of Computer packages: Microsoft Office (Word, Excel, PowerPoint and Outlook).
- Previous expertise for end-to-end process including working with Procurement and Finance functions and third parties.
- Expertise in purchase order initiation, management and processing: ability to track, monitor and report.
- Appreciation of relevant Compliance and Regulatory legislation, application and forthcoming changes
- Able to perform under pressure and think on feet
- Experienced in dealing with internal and external stakeholders at various levels.
- Ability to liaise credibly and, challenge appropriately with due consideration for cultural differences.
- Able to learn multiple Astellas internal systems and knowledge of the basic accounting process
- High degree of attention to detail and able to follow many prescribed processes
- Sound interpersonal skills and team player
- Fluent in English - good spelling & grammar skills
- Ability to operate independently and use own initiative and set priorities
- Good organisational skills and an ability to multitask and to work to tight deadlines
Preferred Qualifications
- Minimum 5 GCSE’s including Maths and English and/or, Secretarial qualification or equivalent
- Experience in the pharmaceutical or healthcare industry.
- Experience within a sales and marketing environment advantageous
- Up to date with Promomats
- Compliance culture: understanding and experience of Pharmaceutical Industry regulations a distinct advantage
