Astellas’ Global Capability Centres – Overview

Astellas’ Global Capability Centres (GCCs) are strategically located sites that give Astellas the ability to access talent across various functions in the value chain and to co-locate core capabilities that are currently dispersed. Our three GCCs are located in India, Poland and Mexico.

Location and Working Environment

This is a permanent role based in our Global Capability Centre in Warsaw, Poland and hybrid working with the expectation for some office presence. Flexibility may be required in line with business needs. Candidates must be located within a commutable distance of the office.

Purpose & Scope

As the Contract-to-Order Administration Associate you will:

  • Support the initiation, execution, and tracking of contracting and purchasing activities using systems such as MyContract, MyBuy, and SAP.
  • Ensure all contracting and purchasing tasks are completed on time, following internal standards across VALUE Delivery.
  • Collaborate with cross‑functional teams and suppliers involved in VALUE‑related activities.
  • Act as a key partner to stakeholders by providing clear communication, timely updates, and issue resolution.
  • Contribute to process improvements that streamline workflows and enhance efficiency within the Source‑to‑Pay ecosystem.
  • Monitor and manage the overall workflow to ensure operational consistency and alignment with business expectations.
  • Role and Responsibilities
  • Lead end‑to‑end Source‑to‑Pay (S2P) activities, ensuring timely and compliant execution of contracts, purchase orders, and invoices.
  • Manage all operational steps in MyBuy, MyContract and SAP, including raising POs, tracking progress, ensuring contract documents are uploaded, and monitoring invoice status.
  • Act as a Subject Matter Expert for S2P systems and processes, resolving issues, supporting stakeholders, and contributing to operational and system improvements.
  • Ensure accurate routing of requests by assigning the correct contract owners, approvers, and workflow details, based on request type.
  • Prepare, maintain, and distribute internal reports related to contracts, POs, and invoices, ensuring accuracy and consistency.
  • Build strong cross‑functional relationships with Finance, Procurement, GBS, and Legal, maintaining clear and proactive communication.
  • Escalate time‑sensitive or complex issues appropriately, using sound judgement and minimal supervision.
  • Support process‑related initiatives and contribute to workflow optimization and continuous improvement across the S2P ecosystem.

Required Qualifications

  • Solid experience in contracts, outsourcing, or a related area within the pharmaceutical or similar regulated industry.
  • Solid understanding of the Source‑to‑Pay (S2P) process, including hands‑on experience with purchase orders, invoices, budgets, and related financial systems.
  • Experience with a variety of computer applications, including Microsoft Office, MS Project, SharePoint, Spend Management tools such as Ariba and myBuy
  • Strong problem‑solving and decision‑making capabilities, with the ability to resolve issues and escalate appropriately.
  • Excellent written and verbal communication skills in English, with the ability to work effectively with stakeholders across functions and seniority levels.

Preferred Qualifications

  • Experience working in a cross‑cultural environment or with outsourced partners.
  • Prior involvement in business change initiatives related to S2P or other operational processes.
