Purpose & Scope
- The Events Execution Expert delivers strategic direction and expertise to business owners to ensure meeting and event objectives are successfully achieved.
- This role is responsible for the strategic management and delivery of in-scope global meetings and events, ensuring high-quality execution aligned with Congress & Events (C&E) objectives.
- Working collaboratively with global teams and cross-functional stakeholders, the Events Execution Expert provides guidance to ensure events are planned and delivered with excellence while remaining compliant with applicable legal regulations, industry codes, and company policies.
- The role also identifies improvement opportunities and implements recommendations to continuously enhance event programmes and processes.
Role and Responsibilities
- Lead as project manager for global events, overseeing end-to-end planning including logistics, budget management, and execution using established global policies, frameworks and contracts.
- Provide strategic counsel to meeting owners, recommending optimal event structures, technologies, and delivery methods that maximize impact and achieve defined objectives.
- Influence and collaborate with senior stakeholders and cross-functional teams to drive alignment and ensure successful programme delivery.
- Navigate complex, matrixed organisational structures to advocate programme priorities and ensure shared accountability.
- Manage event budgets and financial planning, ensuring cost optimization while maintaining high-quality delivery. Identify and recommend innovative cost-saving solutions.
- Oversee and manage third-party vendors and suppliers (local and global) to deliver cost-effective and high-quality event execution aligned with established C&E ways of working.
- Ensure all compliance requirements and reporting obligations are fulfilled throughout the event lifecycle, meeting both local and regional industry regulations.
- Collaborate with business partners to define, track, and report on KPIs to measure success and ensure alignment with broader corporate and brand strategies.
- Drive continuous improvement by capturing event insights, stakeholder feedback, and customer experience data, embedding learnings into future events and processes.
Required Qualifications
- Demonstrable experience in event planning within a corporate environment, hotel management, or third-party event agency.
- Experience managing pharmaceutical sector events with a strong customer-focused approach in complex, cross-functional, and multicultural environments.
- Strong project management, organisational, and multitasking skills, with the ability to manage multiple priorities and work effectively under pressure.
- High level of professional integrity and discretion, with the ability to handle confidential and sensitive information.
- Self-motivated and proactive with strong decision-making skills and attention to detail, able to work independently with minimal supervision.
- Proven budget management and negotiation skills, with the ability to control costs while delivering high-quality events.
- Ability to build strong relationships and collaborate effectively with internal teams, field personnel, and external vendors.
- Proficiency in Microsoft Office and event management platforms such as Cvent.
- Excellent written and verbal communication skills.
- Willingness to travel internationally (approximately 35%) to support major events.
- Bachelor’s or Associate degree, or equivalent combination of education and experience.
Preferred Qualifications
- Advanced experience delivering large-scale global congresses and events.
- Demonstrated experience implementing strategic event programmes and continuous improvement initiatives.
- Experience working within global, matrix organisations.
- Familiarity with compliance and regulatory requirements in the pharmaceutical or healthcare industries.
