The Opportunity:

In this role, you will play a key part in delivering high-quality administrative, organisational, and executive support to the Head of Global Business Services and the GBS Leadership Team. Your ability to manage priorities, streamline processes, and provide proactive assistance will directly enable senior leaders to focus on strategic initiatives and drive business success across a global platform.

Key Responsibilities:

  • Providing high-level operational and administrative support to GBS leadership, including tracking strategic initiatives and handling sensitive information with discretion.
  • Managing complex calendars, international travel, meetings, and logistics, ensuring smooth coordination across time zones and adherence to company policies.
  • Preparing and handling correspondence, presentations, and documentation independently, ensuring timely and professional communication.
  • Coordinating internal and external events, workshops, and engagements, including legal documentation, vendor liaison, and follow-ups.
  • Supporting cross-functional collaboration, budget tracking, reporting, and act as a key point of contact for various administrative processes.

Essential Knowledge & Experience:

  • Proven experience supporting senior or C-level executives, ideally within global, matrixed organizations such as GBS or corporate functions.
  • Strong proficiency in MS Office and a proven track record in executive-level administrative support, with a customer-focused and professional approach.
  • Highly organized, proactive, and solution-oriented, with strong judgment, problem-solving abilities, and the capacity to manage multiple priorities under pressure.
  • Excellent communication skills, both written and verbal, with attention to detail and a solid understanding of basic operational finance.
  • Strong relationship-building and networking skills, fluency in English, and a commitment to ethical conduct, feedback, and continuous improvement.

Additional Information:

  • This is a permanent, full-time position.
  • This position is based in Warsaw (Poland).
  • This position follows our hybrid working model. The role requires a blend of home and approx. two days per week in our offices during the initial six months. After this period, on-site presence may reduce, depending on business needs and individual arrangements. Candidates must be located within a commutable distance of the office.
