Astellas’ Global Capability Centres – Overview

Astellas’ Global Capability Centres (GCCs) are strategically located sites that give Astellas the ability to access talent across various functions in the value chain and to co-locate core capabilities that are currently dispersed. Our three GCCs are located in India, Poland and Mexico.

Location and Working Environment

This is a permanent role based in our Global Capability Centre in Warsaw, Poland and hybrid working with the expectation for some office presence. Flexibility may be required in line with business need. Candidates must be located within a commutable distance of the office

Purpose & Scope

The HR Quality Assurance Specialist Lead plays a critical role in ensuring the accuracy, compliance, and continuous improvement of HR Shared Services operations across the organization. You monitor and evaluate HR transactions, processes, and systems to ensure they meet internal quality standards, regulatory requirements, and operational objectives. By analysing data, identifying trends, and implementing robust quality frameworks, you enable HR teams to deliver efficient, reliable, and compliant services to employees and stakeholders globally. Working closely with HR Shared Services, Centres of Excellence (COEs), IT, and other business partners, you act as both quality guardian and improvement driver—strengthening data integrity, enhancing operational performance, and supporting a culture of continuous improvement across HR operations.

Role and Responsibilities

• Quality Framework & Compliance: Develop and maintain HR quality assurance frameworks and conduct audits to ensure compliance with internal policies, employment law, and data privacy standards.
• Performance Monitoring: Establish and track KPIs for HR service delivery quality, monitoring trends and identifying improvement opportunities.
• Quality Reporting & Coaching: Analyse quality errors and root causes, provide reports to leadership, and deliver feedback or training to People Services Operations teams.
• Continuous Improvement: Identify process gaps and collaborate with HR stakeholders and Continuous Improvement teams to enhance efficiency, reduce risk, and embed best practices.
• Process & Technology Support: Support implementation of new HR processes, tools, and technologies while maintaining accurate quality documentation and acting as an escalation point for quality issues.

Required Qualifications

• Strong knowledge of HR processes, policies, and compliance requirements within HR operations or shared services.
• Experience in quality assurance, auditing, or process monitoring within an HR or operational environment.
• Analytical capability to identify trends, determine root causes, and recommend process improvements.
• Familiarity with HR systems (e.g., HRIS, payroll platforms) and reporting or analytics tools.
• Excellent communication and stakeholder management skills with the ability to work across a global, matrixed environment.

Preferred Knowledge & Experience

• Certification in Lean Six Sigma or a similar process improvement methodology.
• Experience supporting continuous improvement or transformation initiatives within HR operations.
• Exposure to HR technology implementations or system enhancements (e.g., HRIS modules or ServiceNow workflows).
• Understanding of Agile or Scrum methodologies and their application within quality assurance processes.
• Fluency in more than one language.

Education/Qualification

• Bachelor’s degree (or equivalent) in a relevant field.
