The Opportunity:
As a Contract and Procure to Pay (P2P) Management Specialist, you will be responsible for the oversight and tracking of the contract and Procure to Pay (P2P) activities to ensure that engagements and tactics are initiated according to agreed timelines.
This includes participation in the contracting and management of suppliers related to activities such as MA-sponsored studies, Investigator-Sponsored Research, Collaborative Research, Advisory Boards, Consulting Agreements, and non-project related department initiatives.
This position requires a high level of collaboration and stakeholder management to ensure effective communication with assigned stakeholders, contributing to process improvements, and managing workflow efficiently.

Key Activities:
- Lead end to end activities associated with Procure to Pay (P2P) systems and processes working with internal customers to ensure Astellas policies and processes are followed in execution of activities in a timely fashion. Activities include contract management, purchase order management and invoice management.
- Lead all activities associated with myBuy and SAP - raising POs, tracking progress of the POs, including ensuring contracts are uploaded, invoicing status - as well as handling any enquiries from Tactic Owners / request originators, in collaboration with Procurement and Finance.
- Act as a change agent and subject matter expert (SME) for systems and process (POs / contracts through invoice payments), collaborating with the P2P team on process improvements and to resolve issues.
- Ensures execution of tasks smoothly including assignment of contract owners and approvers, and other information, so requests are routed appropriately dependent upon type of request.
- Develops, maintains, updates, and distributes internal reports related to contracts, purchase orders, and invoices for the department.
- Develops cross-functional relationships with Finance, Procurement and Legal and maintains excellent communication with key stakeholders, escalating urgent requests, resolving issues related to contracts, POs, and invoices using independent judgement regarding appropriate escalation strategies, and facilitating issue resolution with limited supervision or oversight.
Essential Knowledge & Experience:
- Requires strong organizational skills with superior attention to detail and the ability to prioritize multiple projects and/or teams.
- Must have strong analytical skills, administrative skills, and proficiency with multiple systems and spreadsheet software.
- Ability to work autonomously and in a global matrix environment.
- Good decision making and problem-solving capabilities.
- Must have strong interpersonal, written, and verbal communication skills.
- Ability to work in a team environment across functional areas with various management levels.
Preferred Experience:
- Experience working in a cross-cultural environment and/or with outsourced partners.
- Experience in facilitating business change in the P2P or other operational processes.
Education/Qualifications:
- Associate degree or equivalent.
- Pharmaceutical or related industry contracts (investigator or vendor), outsourcing, or clinical development experience.
Additional Information:
- This is a permanent, full-time position.
- This position is based in Poland.
- This position follows our hybrid working model. Role requires a blend of home and a minimum of 1-2 days per week in our Warsaw office. Flexibility may be required in line with business needs.
