Astellas’ Global Capability Centres – Overview

Astellas’ Global Capability Centres (GCCs) are strategically located sites that give Astellas the ability to access talent across various functions in the value chain and to co-locate core capabilities that are currently dispersed. Our three GCCs are located in India, Poland and Mexico.

The GCCs will enhance our operational efficiency, resilience and innovation potential, enabling a timely response to changing business demands.

Location and Working Environment

This is a permanent role based in our Global Capability Centre in Warsaw, Poland and hybrid working with the expectation for some office presence. Flexibility may be required in line with business need. Candidates must be located within a commutable distance of the office.

Purpose & Scope

  • Supports the development, review, and delivery of high-quality scientific publications (manuscripts, congress abstracts, presentations) by maintaining accurate records in the publication management system in line with Astellas’ SOPs.
  • Ensures smooth workflow management and compliance by coordinating timelines, documentation, and communication across internal and external stakeholders (e.g., authors, Evidence Disclosure Leads, Scientific Content Creators).
  • Maintains operational excellence and accuracy of scientific publication records to support transparency and trusted evidence disclosure.
  • Works within the Evidence Disclosure Chapter to support Evidence Disclosure Leads in executing integrated evidence dissemination plans aligned with Brand Strategy using agile ways of working.

Role and Responsibilities

  • Publication Management System & Compliance (under supervision of Evidence Disclosure Lead)
  • Ensure adherence to publication SOPs and maintain accurate, compliant records in the publication management system
  • Enter and maintain metadata, submission packages, final publications, and citation details
  • Route drafts for review and approval, monitor lifecycle status, and follow up with authors/reviewers
  • Conduct quality checks to ensure data integrity for reporting and dashboards
  • Publication Development & Submission Support (under supervision of Evidence Disclosure Lead)
  • Coordinate author calls and liaise with regional teams, journals, and congresses to support submissions
  • Manage submission requirements, including pre-submission enquiries and required documentation
  • Upload submissions and communicate key milestones to authors and stakeholders
  • Post-Submission & Project Coordination (under supervision of Evidence Disclosure Lead)
  • Monitor manuscript status and provide tracking updates and reports
  • Support budget tracking, contracts, and invoice processing
  • Coordinate poster timelines, printing, author travel, compliance approvals, and transfer of value reporting
  • Manage proof review, journal forms, payments, and final uploads (e.g., Veeva Vault)
  • Support collection of outcome and impact metrics for evidence dissemination activities

Required Qualifications

  • Bachelor’s Degree or equivalent
  • Strong attention to detail and commitment to quality and compliance
  • Excellent English written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple tasks, prioritize
  • Computer literacy; understanding and experience of a range of software packages and applications
  • Ability to work under pressure and at speed
  • Ability to work both as part of a “virtual” team, and as an individual with minimal supervision

Preferred Qualifications

  • Previous experience in a pharma/biotech setting, peer-reviewed journal publisher environment, or related data management role and/or degree in related subject
  • Experience in scientific publications
  • Experience with Salesforce-based platforms preferred (Global Publication System is built on Salesforce)
  • Familiarity with citation formats and scientific publication practices (i.e. ICMJE, GPP)
  • Experience and/or knowledge of Agile ways of working
  • Experience with contracting, invoicing, and/or budget forecasting
