The Opportunity:

As the Key External Experts (KEE) Solutions Associate, you will support Global Strategic Brand Teams in engaging with top-tier healthcare professionals (KEEs). This role involves direct interaction with senior Astellas staff and internationally recognized HCPs, requiring strong interpersonal and relationship management skills.
You will ensure a seamless end-to-end experience for KEEs, working closely with Business Leads (Medical and Commercial) and Ethics & Compliance (E&C) colleagues and demonstrating a solid understanding of EFPIA Compliance Regulations. As part of the KEE Solutions Team, you will contribute to delivering comprehensive solutions across Astellas teams, reporting to the Senior Manager, Congress & Events Enablement.

Responsibilities:

  • Attend concept meetings with business Leads, Ethics & Compliance, Legal, and Congress & Events teams to understand scope and approval processes.
  • Provide KEE Solutions guidance and enter engagement details into Veeva Event Management (VEM) for approval.
  • Complete KEE contracts and ensure all supporting documentation is properly uploaded to systems such as MyContract and SharePoint.
  • Coordinate with Business Operations to raise POs, process KEE invoices, and resolve finance queries promptly.
  • Book KEE travel while ensuring compliance with internal and external regulations.
  • Collaborate with cross-functional teams to improve the KEE experience and identify opportunities for process efficiencies.

Essential Knowledge & Experience:

  • Demonstrated experience of working knowledge of Veeva Events Management (VEM) technology.
  • Strong understanding of pharma compliance rules & regulations.
  • Excellent interpersonal skills as there will be extensive verbal and written communication with both internal colleagues and external customers.
  • Demonstrated fluency in written and spoken English.
  • High attention to detail.
  • Strong ability to multi-task and work under-pressure and to tight timelines.

Additional information:

  • This is a permanent full-time position.
  • Position is based in Poland.
  • This position follows our hybrid working model. Role requires a blend of home and minimum 2 days per quarter in our Warsaw office. Flexibility may be required in line with business need.
